An opening or anniversary of your business requires different choices than a birthday. For example, you plan the day backwards, choose decorations that stand out from the street, and calculate how many giveaways you really need.
A store opening or a company's fifth anniversary: the date has been in the calendar for months, yet the decorations are usually only arranged in the last week. The result is well-known. Too much decoration that hangs for only one afternoon, a giveaway that runs out halfway through, and no one has thought about who will clean up the mess at six o'clock.
An opening or anniversary is not a party for yourself. It's a day when people who don't know you yet walk in, and when customers who do know you take something with them to talk about. That requires different choices than a birthday. Below is what really matters, in the order you arrange it.
Start with the program, not the balloons
First, write down what will happen on the day itself and at what time. Cutting a ribbon at eleven, coffee and sweets until two, drinks from four onwards: these are three different moments with three different numbers of visitors. Only when that is set will you know how much you need.
Then work backward. Six weeks in advance, determine the budget and the program. Four weeks in advance, order the decorations and giveaways, so you can reorder if an item runs out. Two weeks in advance, gather everything in one place and check what's missing. The week itself, all you have to do is hang it up.
In all of this, consider what your municipality and your premises allow. Local rules apply to displays on the sidewalk, outdoor sound, or a temporary tap. You arrange that early, or you don't do it at all.
Decorations that stand out from the outside
The most important question is: does someone casually walking by notice that something is going on? You can achieve that with less than you think, provided it's at eye level and visible from the street.
A balloon arch around the door works better for this than loose bunches inside. The giveaway: calculate per visitor, not per box
This is where it usually goes wrong. You order a hundred giveaways for a day when two hundred people show up, or vice versa. First, estimate the number of visitors, divide that by two (not everyone takes something), and order that number plus a twenty percent margin.
Then choose by price per item. For under two euros per person, you can already give something that lasts. If you want something edible, keep it packaged and individual. The counter on the day itself
At an opening or anniversary, you usually still sell things. Make sure the items you want to sell are at eye level and there's no doubt about the price.
At the end of the day, walk around with two boxes. In one goes everything reusable: the balloon frame, the displays, unopened giveaway packages, the pricing gun. In the other goes what can be thrown away. What remains of unopened items should not be put in a corner of the warehouse, but added to your regular sales stock or stored labeled for the next occasion.
On the same evening, write down three things: how many visitors you estimate, how many giveaways are gone, and what you ordered too much of. That half a page of A4 will be worth more next year than your entire decoration budget, because then you won't be relying on gut feeling anymore.
