Organizing a reunion: inviting, decorating, and an evening that runs itself

A reunion rarely fails due to the idea itself, but rather due to its execution. From the guest list and invitation to the decoration, cups, snacks, and a program that covers the first twenty minutes.

A reunion rarely falters at the idea stage. It falters during execution: the group chat fills with enthusiastic responses, three months later eighteen people have signed up, and eleven show up. Or it does fill up, and then you discover you only have fifteen glasses for sixty people. If you're organizing a class reunion, study reunion, or family reunion, you don't so much need a theme as a few figures and a plan for the first twenty minutes. This is the order that works.

Start with the number, not the date

First, ask who would even come, and only then when. A quick poll in the group — "are you coming, probably, or not" — will give you a range within a week. Then, calculate with the lower end plus twenty percent for items you'll lose anyway (cups, snacks) and with the upper end for items you can return or store.

For the date, three practical filters apply: outside of school holidays, not in December (you'll compete with everything), and preferably on a Saturday afternoon if people are coming from far away. Someone who has to drive two hours is more likely to come to an afternoon event than an evening one.

Next, write down three amounts: the venue rental fee or zero euros if it's at someone's home, the drink budget per person, and the budget for decoration. The latter doesn't have to be high — at a reunion, people look at each other, not at your garlands.

Inviting: one channel is not enough

The people you most want to see are usually not in that particular group chat. Therefore, always combine two channels: the digital group for convenience, and a physical card for people for whom you only have an address. A card sent by post is also more often passed on to a sibling, neighbor, or former colleague than a message.

Put four things on the invitation and no more: date with start and end times, location, cost, and RSVP deadline. That end time is more important than it seems — it makes it a clear appointment for undecided people instead of an open-ended evening. For shipping, you'll find suitable sizes at envelopes.

Decorating: one eye-catcher, otherwise minimal

A rented hall or a canteen looks bare, but you don't have to hang everything on it. One recognizable focal point is enough, and that point has two functions: it appears in all photos and it gives people a place to walk towards when they enter.

Drinks and crockery: calculate per person, buy per hundred

The calculations are simpler than you think. Assume two to three drinks per person for the first hour and then about two per hour. For cups, don't count one per person but one and a half to two: people put their cup down and grab a new one.

The first twenty minutes are the whole party

At a reunion, there's one moment that can go wrong: the beginning. People walk in, recognize two faces, and stay there. What helps is something you can walk towards and something you have to interact with.

A photo booth without fuss

Set up a corner with a blank wall, some lighting, and a box of props. That's all it is, and it provides the photos that will then be shared in the group. A fashion glasses in black and white (€5.00), a heart-shaped sunglasses (€5.95), and a set of 6 stick-on moustaches in 3 designs (€5.00) are enough — props that are too complicated will be left untouched.

Something on the table for those who aren't talking for a moment

Thank you and follow-up

A small thank-you gift when leaving is not mandatory, but it is the moment people say they will come again next time. Think of something small and recognizable: a keychain for €7.95 or, if you have something for the organizer or a former teacher, a luxury gift box of 8.1 x 5.2 cm for €6.99.

Agree in advance who will collect the photos and where they will end up, and at the end of the evening, establish two things: whether there will be a next time, and who will organize it then. That takes two minutes and saves the next organizer half a year of lead-up time.
