Winter Fair or Christmas Market: This Is How to Get Your Stall Ready in November

Are you attending a winter fair or Christmas market in November or December? Here's how to arrange your prices, wrapping station, lighting, and transport well before market day.

For most winter fairs and Christmas markets, registration closes in September or early October, while the market itself isn't until late November or December. That two-month gap is precisely where things go wrong. You registered on time, and then on the day itself, you're standing behind a stall at 4:30 PM in the dark where no one can read a price, with a roll of tape that won't stick in the cold, and with too few boxes for the last hour, which also happens to be the busiest hour.

This is the list you can start working through now, in the order in which things can go wrong.

Work backward from the market day

Write down the market date and work backward. This way, you know which decisions need to be made now and which can wait.

  • Six to eight weeks beforehand: registration complete, stall dimensions and power confirmed by the organization, and an initial estimate of what you'll bring.
  • Four weeks beforehand: order stock. This is also the time for packaging and pricing materials, because you almost always forget these until it's too late.
  • Two weeks beforehand: price everything and put it in boxes by product group. Not on the morning of the event.
  • One week beforehand: trial setup on your own table. You'll immediately see what doesn't fit and what you're still missing.
  • The day before: load the car, charge your phone and card reader, arrange change.

Always ask the organization two things: what time you can set up and if there's power at your stall. Both determine how much lighting you need to bring yourself.

Prices your customer can read without asking

At a busy market, no one asks for the price of a four-euro item. They look, and if there's no price, they put it back. Making prices visible is therefore not administration, but revenue.

For individual items, a pricing gun is fastest. The MX-5500 Red pricing gun (€24.95) comes with 5500 stickers and two ink rolls, so you can get started right away. If you work with fixed price points, colored price stickers (500 pieces, €2.95) are handy: one color per price category, with a sign at the stall indicating what each color costs. That saves you from answering the same question dozens of times on a busy Saturday.

The packing station behind your stall

Behind your stall, you only have half a meter of table space, and everything has to happen there: packing, checkout, restocking. Keep it small and fixed in one place.

What's always there:

Do you also sell online and bring orders for customers to pick up at the market? Keep those separate, labeled with names, in bubble envelopes 22x17 cm (€0.90 each). This way, you can grab them from the pile in one go.

Dark, cold, and wet: what the weather does to your stall

A December market often starts as dusk sets in. Expect to be in the dark for the last two hours and that the organization's lighting at your table won't be enough.

What helps: a lamp that isn't dependent on an outlet you might not get. The solar lamp with power bank (€32.00) charges via USB and also serves as an emergency charger for your phone or card reader. For the car and when dismantling, a mini LED flashlight with hand crank (€14.95) is sufficient. If you primarily want to stand out among the stalls, LED balloons (5 pieces, €2.95) do their job without needing power.

Cold and moisture do two things. Tape adheres less well to cold cardboard: press the seam firmly and work as much as possible indoors or under your stall canopy. And cardboard absorbs moisture. Don't put your boxes on the ground but on a pallet, crate, or overturned box, and cover your stock when you're away.

Transport, setup, and what you take back

Pack by product group, not by arbitrary box. A 50-liter moving box (€3.50) is large enough for an entire category and still fits in a normal car. Write on each box what's inside and where it should be placed on the stall. Then someone who comes to help you can actually help.

Bring one box that you don't unpack at the market: the spare box. It contains tape, scissors, markers, a roll of price stickers, a few empty boxes, plasters, and a power bank. You might not use it, but if you need it, it will save your day.

Afterward: count what comes back BEFORE you throw everything in the car. That's the only time you'll know exactly what was sold, and it saves you an evening of puzzling if you're at another market the following week.
